The statuses of a waitlist request

Every request in the queue carries a status. The status badge is a button: it opens the actions available. Clicking elsewhere on the row opens the request’s detail and its history.

What each status means

Badge	Status	What it means
	Table available	A free table matches the request. This is the moment to promote.
	On waitlist	The request is waiting. Nothing matches right now.
	To approve	A match is staged for you. The status carries the time: To approve · 20:15.
	Offer sent	A table is held for this guest, who has to confirm. The status carries the deadline: Offer sent · until 20:15.
	Promoted	The request became a reservation.
	Cancelled	The request was withdrawn, by you or by the guest. The status does not say which.
	Expired	The requested window passed with no table freeing up, or the guest let two offers pass. The status does not say which.

What each action does

Action	What it does
Promote…	Turns the request into a reservation, in the window described in promote a guest from the waitlist.
Move to the top	Puts the request first in the queue.
Move up one place	Moves the request ahead of one other.
Open the pending reservation	Opens the reservation to approve that the match created.
Return to waitlist	Hands a request back to the queue when you do not approve its match.
Confirm for the guest	Confirms the table on the guest’s behalf, when they call you to accept: the reservation moves to Confirmed and the request to Promoted. You can confirm for as long as the request carries Offer sent, even past the deadline. On a service that takes a card imprint, only the guest’s card confirms the table.
Withdraw offer	Takes back the table held for a guest who has not confirmed yet. The request returns to the queue, at the place it held.
Cancel, Cancel request	Takes the request out of the queue. On a request with a live offer, the table is freed at the same time.
View the reservation	Opens the reservation the promotion created.
Re-add…	Reopens the add form already filled in: the guest, the covers, the window and the service. The notes are not carried over.

The order of the queue decides which request is promoted first when a table frees up. There is no action for moving a request down: to put one ahead of another, move the first one up. The history keeps a record of every move up, as Moved up the queue.

Neither a cancellation nor a withdrawn offer tells the guest, and the link they were sent stops working. Tell them yourself if the situation calls for it.

There is no Edit action. To change a window or a party size, cancel the request, re-add the guest, then put the row where you judge it belongs: a re-add starts at the back of the queue.
